Owner statements
What gaps on an owner statement actually mean
Hands-off owners often trust the monthly PDF. Gaps — missing line items, silent months, or numbers that do not reconcile — are where drift shows up first.
What a “gap” means for owners who don’t manage day-to-day
You hired a property manager so you would not live in the weeds. The monthly owner statement is still your primary source of truth: rent collected, fees charged, repairs paid, and what hit (or did not hit) your draw.
A gap is not always fraud. It is anything the statement should make clear and does not — or anything that looks inconsistent month to month:
- Expected rent or occupancy that does not show as collected
- Fees that appear, jump, or vanish without an obvious note
- Repair spend that spikes without matching context on the statement
- A door that simply does not show up in a month you expected activity
- Negative months that stack without an easy portfolio-level explanation
Why PDFs miss line items (even when the PM is competent)
Owner statements are operational documents first. Formats differ across AppFolio, Buildium, Propertyware, Rent Manager, Yardi, and custom exports. Line items get abbreviated. One-time charges sit next to recurring fees. Tenant names and unit labels drift. When you hold doors across markets, you also get different statement layouts from different managers.
Skimming a PDF once a month — especially across multiple PMs — is how missing items slip past. Spreadsheets help until they become another job.
PropView angle (no hype): Upload the owner-statement PDF. PropViewHQ extracts line items into a ledger and flags gaps and anomalies so you can see what is missing before you ask “is my PM drifting?”
What PropViewHQ does with the PDF
PropViewHQ is the owner’s layer above your property managers. You drop in the monthly statement PDF; AI files rent, fees, repairs, and related line items into a portfolio ledger. From there you get gap/anomaly flags, PM scorecards, owner reports, and a tax-oriented rollup — without asking you to Connect or Sync into PM portals.
Statement Autopilot (when you use it) is email forward to a private inbox address — not portal automation.
